Why Your Current Prompts Fail
When you type “write a marketing email,” AI has to guess:
- Who is this email for?
- What’s the goal?
- What tone should it use?
- How long should it be?
- What should it include?
Vague prompts force AI to make dozens of assumptions—and AI is terrible at mind-reading.
The solution? A simple six-part formula that eliminates guesswork.
The 6 Elements of a Great Prompt
1. ROLE: “Act as a real estate marketing expert…” or “You are a sales coach…”
2. TASK: What exactly you want done
3. FORMAT: Paragraph, bullet points, email, text message, phone script
4. TONE: Professional, friendly, urgent, conversational
5. LENGTH: “Under 100 words” or “3 paragraphs”
6. CONTEXT: Audience, specific facts, previous conversations, resource links
Before and After
❌ Vague Prompt:
“Write a marketing email”
✅ Formula Prompt:
“Act as an email marketer for service businesses. Write a follow-up email to a prospect who downloaded our pricing guide. Format as a professional email. Use a friendly but professional tone. Keep it under 150 words. Context: Our company provides bookkeeping services for California contractors. The prospect expressed interest in tax planning. Include a clear call-to-action to schedule a 15-minute call.”
The difference? Night and day.
Two Critical Safety Notes
⚠️ Never input PII (Personally Identifiable Information) into AI tools. That means no customer names, addresses, phone numbers, social security numbers, financial data, or health information. Use placeholders like “[Customer Name]” instead.
⚠️ Always follow your company’s AI policy and brand guidelines. Check with your team before using AI for client-facing communications.
